Who we are:
Hostelgalaxy.com is an online accommodation booking platform/ online travel agency (OTA) that allows you to make online confirmed bookings for worldwide Hotels, Hostels, B&Bs and other types of international accommodation with the lowest online hotel/hostel booking deposit on the international market, making us cheaper and more accessible than our big-name competitors out there.
What personal information do we collect from you?
When you visit our website Hostelgalaxy.com to book a hotel, hostel, B&B (or other type of accommodation type) listed and bookable on our site, we require specific booking-related details - your name, email address, country, booking dates and payment information etc., to be able to process your confirmed online booking. All credit card payments are processed through an encrypted and protected (SSL) and although encrypted, for extra security, we never store a complete card number in its entirety in one system location. Additionally all card details - name, card number and expiry date - are automatically deleted seven days after your check out from the hotel or hostel that you book through Hostelgalaxy.com.
What other information do we collect from you?
Our booking site - along with third party advertising partners such us Google/Google Analytics - collects other information from the device you use to access our website, the browser you use and the sort of device you are using. This non-personally identifiable information is purely statistical and does not identify you personally. It serves only to identify statistical sales and marketing trends such as location (city and country) of visitor, device type, browser language and source of visit etc.
Why is your personal information collected?
The only personal data that we collect from you is the data necessary to create and process your online booking and to deal with any queries that relate to your booking/s. Without this basic information it would not be possible to confirm a booking. We also use your basic data to tailor advertising and marketing emails so they are relevant to you.
Who do we share your personal data with?
When you make an online booking through our booking site you are only required to enter the relevant details needed to complete the booking on the check out page. This data is used only to create and process your booking and the data is also shared with the property that you are booking into. This includes your credit/debit card details so that the property take the required payment (including any applicable charges if you fail to show up at the property you booked without cancelling your booking in accordance with the property's cancellation policy). All properties listed on our website enter into a strict contractual obligations which require them only to use your booking date to fulfill your booking and not to share your data within anyone not pertaining to the fulfillment of your booking.
Transfers outside of the EU
We connect to a number third-party vendors - software providers such as Hotel & Hostel Property Management Systems and Channel Management Systems - which enable hotels and hostels to synchronize room/bed availability and to better organize their front desk and check in services. Some of these third-party vendors may be based outside of the EU however all are GDPR-compliant and they are also bound by the same contractual and GDPR obligations that we are under. Some of these providers will have access to your basic data (excluding credit card data which is only processed by our booking site's secure payment gateway system; which is fully compliant with GDPR and all financial regulations.
When you book a hotel or hostel which is outside of the EU (USA for example) the hotel or hostel is also provided with your booking details so that the hotel/hostel can register your booking. Again, all properties listed on our website enter into a strict contractual obligations which require them only to use your booking data for the purpose of fulfilling your booking and not to share your data within anyone not necessary to the fulfillment of your booking.
Retention of personal data
We retain your information for as long as necessary to complete your booking. Credit/debit card details are automatically deleted seven days after your booking has been completed (i.e. your check out date from the hotel/hostel you have booked). When you enter your details in our booking site you give your consent to the use of your data for booking purposes, to contact for marketing purposes or any purposes pertaining to your booking . You can also opt-out from our services and unsubscribe at any time by writing us at info@hostelgalaxy.com however then would then not be able to receive any of our services.
Your rights under the data protection law
We take every reasonable step to secure your data in accordance with the GDPR and you have the right to request a copy of any personal data that we hold about you and to request that we amend any errors in said data. You can also request that we delete your data from our system at any time and we will do so immediately. Finally, you have the right to take any complaints about how we process your data to the Data Protection Authority in your country.
